Residence Hall Winter 2017 Check-Out
Everything you need to know for a successful departure by 9:00am on Thursday, December 21, 2017!

For All Residents

If you are looking for Spring Check-Out info, please go here.

All residents must attend their floor/wing meeting for full details about closing procedures in their community (check with your RA for location, date, and time). In addition, all residents must complete the Winter Break Resident Check List.

If you are returning for Spring you do NOT need to move your belongings out, but you do need to leave the residence halls. If you need a place to stay for winter break, please see our info on Winter Break Housing.

For Any Residents Not Returning in Spring 2018

Important Steps for All Residents Moving Out:

Express Check-Out Procedure

Know the Pros and Cons

The Pros
* No need to sign up for an appointment
*Move out at your own pace (as long as it is before 9 a.m. on December 21st)

The Cons
* You waive the ability to dispute charges (i.e. damages or cleaning)
* You waive the opportunity to be present at the time the room will be checked therefore if damage(s) are found or cleaning is required there is an increased risk of being fined

Express Check-Out Steps

  1. Move all of your belongings out of your room/building
  2. Complete the “Before We Leave" resident checklist
  3. At the 24-hour front desk, fill out an express check-out envelope and return your key by 9 a.m. on December 21st

In-Person Check-Out Procedure

  1. Sign up for an Appointment Time with your RA or at the 24-hour desk in your community (at least 24–hours in advance)
  2. Move all of your belongings out of your room/building
  3. Complete the “Before We Leave" resident checklist
  4. Clean your side of the room thoroughly
  5. Meet an RA at the designated location during your appointment time
  6. Turn in your room key to the RA who checks you out
  1. All belongings are out of the room/building
  2. You have completed the “Before we leave” resident checklist
  3. There are no damages to the room

Please take notice:

While, RAs can assist in identifying potential issues with the room prior to your departure, they are not the final say in what gets charged.

Missing a scheduled check-out time with an RA will result in an improper checkout charge of $25 or more, and you will have to do an Express Check-Out.

Residents failing to leave the building after 9 a.m. on December 21st will be assessed a late check–out fee starting at $50.

Important Details For Residents Moving Out

Update Mail Addresses

  • Change your address on the UT Direct Page (log into, modify your address as needed, then select “Update This Address”)
  • Check your mailbox before leaving - Residents may not pick up mail at the mailroom after 9 a.m. on December 21st
  • Only first-class mail will be forwarded for a period of 30 days after closing
  • Residents will also need to update their default address with external companies that may continue to ship mail to them (i.e. magazine subscriptions, Amazon packages, etc.)

Adjust Beds to Original Height

Your bed needs to be returned to the same height it was upon check–in. To avoid a $50 charge follow these procedures:

Microfridge Defrosting

Follow the Microfridge Defrost and Cleaning instructions to avoid a $20 Fine.

1-hour loading zone permits or validation of garage parking will be available at your 24–hour desk.*
A limited number of carts will be available for check out - so, make your life easier by bringing your own cart.
*One permit or validation per resident

Contact the front desk or RA if you need assistance in addressing a noise concern.
Failure to maintain an appropriate noise level may cause early removal from the residence hall.
