Residence Hall Check-Out Process
Everything you need to know for a successful departure!

Check-Out Procedure

Important Steps for All not returning in spring:

  1. Attend your floor/wing meeting for full details about closing procedures in your community (check with your RA for location, date, and time)
  2. Select either Express Check-Out or In-Person Check-Out
  3. Move all of your belongings out of your room
  4. Complete the Winter Break Resident Checklist
  5. Return your room key to either the RA or to the 24-hour desk staff

Express Check-Out Procedure

Know the Pros and Cons

The Pros
* No need to sign up for an appointment
*Move out at your own pace (as long as it is before 9 a.m. on closing day)

The Cons
* You waive the ability to dispute charges (i.e. damages or cleaning)
* You waive the opportunity to be present at the time the room will be checked therefore if damage(s) are found or cleaning is required there is an increased risk of being fined

Express Check-Out Steps

  1. Move all of your belongings out of your room/building
  2. Complete the Winter Break Resident Checklist
  3. At the 24-hour front desk, fill out an express check-out envelope and return your key by 9 a.m. on closing day

In-Person Check-Out Procedure

  1. Sign up for an Appointment Time with your RA or at the 24-hour desk in your community (at least 24–hours in advance)
  2. Move all of your belongings out of your room/building
  3. Complete the Winter Break Resident Checklist
  4. Clean your side of the room thoroughly
  5. Meet an RA at the designated location during your appointment time
  6. Turn in your room key to the RA who checks you out


  1. All belongings are out of the room/building
  2. You have completed the “Before we leave” resident checklist
  3. There are no damages to the room

Please take notice:

While, RAs can assist in identifying potential issues with the room prior to your departure, they are not the final say in what gets charged.

Missing a scheduled check-out time with an RA will result in an improper checkout charge of $25 or more, and you will have to do an Express Check-Out.

Residents failing to leave the building before 9 a.m. on closing day will be assessed a late check–out fee starting at $50.

Important Details

Update Mail Addresses

  • Change your address on the UT Direct Page (log into, modify your address as needed, then select “Update This Address”)
  • Check your mailbox before leaving - Residents may not pick up mail at the mailroom after 9 a.m. on closing day
  • Only first-class mail will be forwarded for a period of 30 days after closing
  • Residents will also need to update their default address with external companies that may continue to ship mail to them (i.e. magazine subscriptions, Amazon packages, etc.)

Adjust Beds to Original Height

Your bed needs to be returned to the same height it was upon check–in. To avoid a $50 charge follow these procedures:

Microfridge Defrosting

Follow the Microfridge Defrost and Cleaning instructions to avoid a $20 Fine.


When you move out, here are some common charges to avoid:

Late Checkout

(after 9 a.m. on closing day)


Failure to return beds to original position


Room Cleaning Fee

(if left messy or dirty, per person)


Private Bathroom Cleaning Fee

(if left messy or dirty, divided among room/suitemates)


Lost Key or
Key not returned by 9 a.m. on closing day

Damages or missing room items will cost the price of repair/replacement and/or labor.
